Room Setups

Tables and chairs are available for all rooms. Your caterer will have access to a kitchen for warming and staging.

Rounds

Generally used for meals and sessions involving small group discussions. A 60” round table seats eight people comfortably. A 72” round table seats 10 people comfortably.

Conference / Hollow Rectangles

Appropriate for interactive discussions and note-taking sessions for fewer than 25 people.

E-Shape, U-Shape and T-Shape

Appropriate for groups of fewer than 40 people. These are best for interaction with a leader seated at the head of the setup. Audiovisual is usually best set up at the open end of the seating.

Theater

Appropriate for large sessions and short lectures that do not require extensive note-taking. This is a convenient setup to use before breaking into discussion or role-playing groups because chairs can be moved.

Reception

A stand-up social function where beverages and light foods are served. Foods may be presented on small buffet tables or passed by servers. May precede a meal function.

Schoolroom or Classroom

The most desirable setup for medium to large-size lectures. Tables provide attendees with space for spreading out materials and taking notes.

FAQ

CAN I TOUR THE SPACE?
Yes! Please call today to schedule a walk-through. Our Event Specialist will happily guide you through our facility and answer all of your questions. Once you have booked your event, our Event Team will be available for an additional walk-through with you and your vendors.
HOW DO I HOLD A DATE?
If the date is available, we can schedule a site tour. After the tour, if you are interested we can hold the space for 24 hours. The hold will become secure when the contract is signed and returned with the full rental payment.
HOW DO I SECURE MY EVENT DATE?
A non-refundable full rental payment is required to secure the venue along with a signed contract.
HOW FAR IN ADVANCE SHOULD I BOOK?
You are encouraged to book sooner than later. There are months when we have a full calendar a year in advance, and months with openings up to a month prior, especially for mid-week dates.
WHAT FORMS OF PAYMENT DO YOU TAKE?
Cash and check.
WHAT IS THE CANCELLATION POLICY?
All payments are non-refundable. If you need to change your date and we have the date available, we will be happy to move your date at no additional cost.
CAN TWO EVENTS HAPPEN SIMULTANEOUSLY ON MY EVENT DAY?
Yes. We have a separate entrance for each of the ballrooms.
IS THE GATHERING PLACE WHEELCHAIR ACCESSIBLE?
Yes. The venue, patio, and restrooms are all accessible
IS THERE AN OPTION TO GET READY IN THE SPACE PRIOR TO MY EVENT?
Yes. There is a beautifully remodeled suite where you and your party can prepare; from make-up, and hair to the final clasps on your gown which all lead to beautiful photos.
DO I NEED TO RENT TABLES AND CHAIRS?
We will provide the required number of round and rectangular tables and Chairs for your event.
WHO DOES THE SETUP AND BREAKDOWN OF THE TABLES AND CHAIRS?
The staff of The Gathering Place is happy to handle the setup and breakdown.
WHEN CAN WE START SETTING UP FOR THE EVENT?
We offer 2 hours of complimentary setup time prior to the actual time of the event.
CAN I USE MY OWN CATERER?
Our in-house, full-service caterer is amazing. An extensive menu, including desserts, can be customized to specific tastes and occasions. They can also provide beautiful linens, place settings with china, glassware and flatware, wait staff, and more.

You can also choose to bring in any outside licensed, reputable caterer.

CAN I USE AN EVENT/WEDDING PLANNER?

An Event/Wedding Planner will insure a more successful event. We do offer one in-house who is experienced with our venue and familiar with all the nuances and is prepared for any situation. The Gathering Place Planner will make sure your event is flawlessly executed, and is responsible for everything from the exact placement of every table and chair, to the timing of the food, the bars, the set-up, and breakdown – every detail from start to finish. However, you can work with an outside Planner.

Preferred Vendors

Following, by category, is a list of local vendors that carry a solid reputation within the hospitality industry.

There are several qualities that go into a company being on a preferred vendor list – Reputation within the industry is very important but so are their ability to show up on time, have strong communication skills, reasonable costs and a solid quality of products and services. Vendors also need to be fully licensed and insured, providing a certificate of insurance to this venue prior to any event.
